Best way to write a resume

A resume is the first document you need to have when trying to find a job. When looking for a job, compulsory provision of a resume is one of the elements of modern rules of business etiquette, but it is also one of the most effective tools of promoting yourself in the labor market.

It is a short summary of what was said, read or written, summarizing the main provisions.

With reference to the job search, a resume describes your abilities that can make you competitive in the market of labor. It has to reflect the following:

  • Productivity
  • Education
  • Unlimited abilities

Sometimes, one can find the abbreviation CV (Curriculum Vitae), which literally means biography or life course and is a summary of an employee in creative professions. It represents the results of labor, while the places of work are not indicated. The resume style is more often aimed at obtaining a specific job, while theCV includes more detailed and organized information about the career path of a candidate. Today, a document designated as resume or CV doesn’t so much describe the professional history of the applicant but serves as the basis for an invitation to an interview. Resume carries a lot of positive, both for the job seeker and for the employer. For the applicant, it is the best way to show oneself in the most favorable light, and for the employer, it is a kind of method of eliminating unsuitable applicants.

The objective of the resume is to get attention to yourself at the first, as a rule, meeting, make a favorable impression, and induce the potential employer to ask you for a personal meeting.

Hence the basic principle of preparing a resume is to emphasize all the positive aspects and make your shortcomings as imperceptible as possible.

Your resume should do the following:

  • It should show your potential employer that it is a resource of your biographical data and information about your professional experience.
  • It should show if you meet the instructions established by the employer for the position.
  • It should provide additional information that would interest the employer and motivate him or her to invite you to an interview.

The resume that the employer reviewed prior to the interview allows to quickly learn the main thing about the candidate, formulate extra questions, and not record the required information about the candidate, which reduces the time and raises the effectiveness of the interview. More often staffing questions are managed by personnel managers, office managers, secretaries, heads of sales departments, and even chief accountant. Personnel recruiters use the subjective methodology of CV choice, as well as the selection method for a number of formal characteristics (experience and skills, professional qualifications, education, gender, age, etc.). In the former case, the subjective impression of the manager is of great importance, in the latter case, a professionally written resume emphasizing the merits and skillfully leveling the shortcomings of the applicant.

Based on the CV, the first and fairly stable opinion about a candidate is established, which, however, is biased and depends on the stereotypes of people’s perception. If the invitation to the interview was not obtained, it means that the resume for some reason didn’t attract the attention of the boss. The only way to reach success with a CV is the time when it is looked through for the first time. As a rule, it takes no more than 2–3 minutes to look through the resume. That’s why when you compose it, the standardized form is applied. In the opinion of the majority of the boss, it is very important that the info in the resume is as complete and concise as possible, and most importantly, that the applicant during the interview can confirm all the data.

In accordance with the form, resumes can be professional or universal, functional, chronological, chronologically-functional, academic, and targeted.

  • Most often, a professional resume is used, in which all information is offered in blocks. In accordance with the experts, this type is preferred to those who have a good track record of previous jobs.
  • If there is not enough work experience, or there’re breaks in the work experience, it’s better to place the information in a functional CV. A functional CV is used to describe the specific work experience and the range of activities when it is not required to have a chronological order of the process of accumulating this experience. It focuses on education and special skills and knowledge. Also, this form of a resume is acceptable in those situations when there was a big break in work or there is a need to change the profession.
  • If the main advantage is the work experience, the resume should be compiled in chronological sequence with a list of all workplaces and company names. A retrospective or chronologicalCV is a perfect type for the candidates who worked in the same field for many years and who want to keep on doing their activities in it.
  • A chronologically-functional CV is applied most often for emphasizing certain special achievements, while at the same time the chronological sequence of presentation of education and work experience is preserved.
  • The target resume is written when attention is focused on obtaining a certain vacancy and the request is supported by listing your abilities and knowledge.
  • Academic CV is applied to search for a teaching position. An independent part of such a resume is a description of scientific publications and works, achievements, awards, and titles.

How to write a resume

A resume is an official document, the rules of writing which are regulated by the management of records management.

The best way to write a resume is to follow all the recommendations. They include:

  • It is necessary to think over several variants of the resume– for sending by mail (or handing personally), by fax, or electronically by e-mail. However, the texts must be identical.Formatting can be different – a well-chosen photo will adorn the resume, but think about how it will look if the resume is received by fax.
  • The size of the resume cannot exceed one, at most two A4pages, and it is desirable that the key information is on the first page. If the size does not allow it, then think about what information you can sacrifice. However, if a person has extensive experience, this creates certain difficulties and limitations, but when typing a resume on a computer, there is an opportunity to work around this rule by changing the font size, although itis not desirable – the resume should be read easily.
  • If the resume takes more than one page, at the end of the page, you should indicate that the continuation is on the next page. On all the pages, except for the first one is printed the page number and the surname is indicated.
  • If the size of the resume is one incomplete page, the information should be arranged so that the page is completely occupied by the text.
  • To write a good resume, you must use one font, preferablyTimes New Roman or Arial. A lot of fonts of different sizes are unreadable. A strict design style is an indispensable condition.Do not demonstrate the capabilities of Adobe Photoshop filters –a summary is a document.
  • As for the font size, the font for the 12th size is considered standard for the resume. It is necessary that all the content is of the same size.
  • Each section of the resume should be separated from the previous one.
  • The headings should be highlighted in bold and/or underlined.
  • Be sure to check the spelling. A resume with errors has no chance.
  • The resume should be written in a simple language.
  • For documents of this type, the following page layout is recommended – the top margin is 2 cm, the right margin is 2 cm, the bottom one is 2 cm, and the left one is 2.5 cm. The field can be narrowed by a centimeter and the 10th font size may be used instead of the standard 12th font size. At the same time, decreasing the font is acceptable only if the resume is sent to the employer by e-mail or handed over personally. In the case of faxing the resume, it is better not to use a font size less than12, otherwise the resume will be unreadable.
  • For the resume, white paper of a good quality is used.

Non-standard resume

If you decide to write a non-standard resume, keep in mind that this strategy is not good in all cases. As a guide to action, it can be accepted by representatives of creative professions, who are allowed not to use the standard format. As for the specialists of other (not creative) professions such as engineers, drivers, accountants, etc., it is preferable for the applicants to stay within the framework of officially approved norms. This is due, first of all, to the fact that specialists of this profile should be accurate, scrupulous, and observe the job instructions.

It should be borne in mind that recruitment agencies usually use the CVs sent to them as a source of obtaining the necessary information about the applicant, so it is processed into a standard resume form in which creative liberties are annulled. If you send a non-standard resume directly to the employer, then there is a chance that your creative approach will be appreciated by those to whom it was, in fact, intended.

Possibilities for being creative

There are several standard lines, following which you can transform your resume into something creatively non-standard and thereby attract attention to yourself. They include:

  • Photos. According to the classical canons of office work, the photograph should be approximately the same as in the passport. But there are no rules without exceptions. One literary editor came up with a very interesting move – instead of a photo on the resume, he placed his silhouette portrait, of those that are cut with scissors.
  • Epigraph. Use this tool carefully. It is as effective as itis unpredictable. Some employers do not like excessive cleverness. But, suppose, if the applicant for the position of the personnel manager in the personal qualities column writes the motto: “Putting people first, you will never make mistakes, even in matters of receiving money (Michael Marx)” – the resume won’t become worse because of it.
  • Design. You can write key moments of the resume with a non-standard font.

A risky area

The share of non-standard resumes is approximately 0.5% of the total number of resumes. In addition, not all of them are really creative. Using a non-standard approach to writing a resume, you should be prepared for the fact that HR managers can interpret it, in the sense that the candidate is too extravagant and difficult to handle.

The photo must not exceed the passport format. Of course, beach photos and family photos are not to be included on the resume –this only shows disrespect to the employer.

There are three reasons why you should upload include your photo:

  • A resume including the author’s photo is more productive and interesting for the employer.
  • The photo promotes more authentic identification of your personality.
  • Most employers make their conclusion about granting work to a job seeker within the first 3 minutes after they meet. The appearance of the candidate plays an important role in the first meeting. That is why, it makes sense to introduce your potential employer to your image – it will wither favorably allocate you among other applicants, and then the chance of getting a job will increase, or you will not immediately come up with certain parameters and thus save yourself a half-day that otherwise you would spend to conduct a useless interview for you.

Resume writing style

The writing style of a resume must meet the following instructions:

  • Brevity – no unnecessary words, obscure abbreviations and concepts.
  • Concreteness – the lack of info that doesn’t directly relate to the vacancy.
  • Purposefulness –main information that confirms why you want to apply for a given position.
  • Activity – the usage of active verbs.
  • Clarity and accuracy of the presentation of thought.
  • Selectivity – careful selection of data (don’t write about all your achievements in one resume.) Keep in mind that it should be completely related to the vacancy you’re applying for.
  • Honesty (only true information).
  • Literacy.

Structure of a resume

These tips will help you understand the CV structure so that the employer can quickly find in it the necessary information about you. Resumes may include various components but the most common is described below. To create the most detailed resume that will sell you to the employer – use this advice.

Contact details

Include as much contact information as possible so that the employer can easily contact you. Indicate one or two phone numbers and email address. Do not leave your working e-mail or address with a nice name (for example, [email protected]). If you do not have a personal address that contains your name in the title, it’s best to create it specifically for job search. It is also desirable to add a link to your page in a social network, for example, a professional network LinkedIn.

Immediately after your name, write two or three short phrases showing all your advantages as a candidate. Do not write general words. Identify your strongest professional qualities, which are directly related to future work, for example, great experience in this field or knowledge of several languages, and laconically state them. This point is very important since the employer spends no more than 20 seconds on each resume, accordingly, it is necessary to grab his attention at the first moment.

If you want to write a resume correctly, then in this section, give a short list of your professional knowledge and skills.Simply put, write down what exactly you know how to do. At the same time, start from the list of requirements and functional duties described in the vacancy. For example, if, according to the vacancy, you need to create advertising campaigns, write down specific skills such as “media planning”, “budgeting of advertising campaigns”, “ability to work with contractors”, etc.If you are in doubt, what are the best skills to indicate in the resume, look at the finished CVs of candidates from your sphere on different job portals – it is possible that you will find many clues.

Here you can include both your educational institution, where you graduated, as well as all the major trainings, seminars, and programs that you have additionally passed. If you visited a huge number of such events, experts advise selecting only those that are really worthy and close to your profession. The employer will not waste time and get into the long list of your cooking courses, and may not notice an important seminar that will add weight to you as a specialist.

Work experience

Your career path is better described in reverse chronological order – from the last job to the most recent one Then everything should be written as follows – after the name of the place of work, it is better to immediately register your key achieve mention the company. It should be specific examples of what you achieved at the previous place of work. Increased productivity by30%? Reduced the company’s expenses? Established a system of cooperation between departments? Successfully managed a team of 50 people? Fine, you should list everything in here.

Describing your achievements, do not forget about the SMARTprinciple. All that you write should be specific, measurable, attainable, relevant, and time-based.

Only after this, describe your duties. Avoid general phrases and focus on specific tasks. When writing down duties, describe them from the most important duties to the smaller ones. Remember that your goal is to impress the employer with the first lines, showing a professional resume.

Additional information

Here the employer expects to see information about your knowledge of languages, the description of computer skills, additional work experience, not directly related to your professional activities(for example, volunteering). In some cases, there is also information about the availability of a driver’s license.

If you doubt how best to structure information in your own, you can download the resume template which you can find online. Also, there are examples of resumes in the professional networkLinkedIn.

Things to exclude from a resume

These are the things you need to exclude from you resume:

  • Lies. Describing knowledge and experience you don’t have, you are unlikely to get a job.
  • Artsy style and bureaucracy. If you want to create a memorable resume, do not try to highlight your it using an unusual font, format or bright colors. A clearly structured resume, in which your achievements and advantages are clearly demonstrated, is much more attractive to the employer. Use only business style.
  • Cliché. Get rid of all phrases in the style of highly motivated specialist with good communication skills.” Your task is to stand out among other candidates, and well-worn expressions are definitely not the best way.
  • Information on general skills. Using Word and Excel has long ceased to be a special skill.
  • Personal information. Family status, gender, and children are not of interest to the employer.
